Case study · AI systems integration

Less Cognitive Load. More Consistency. Better Thinking.

How Muslim Sports Foundation embedded AI into day-to-day operations — with role-specific assistants built on real documents and real workflows, not generic training.

Sector: Charity & sport Programme: AI systems integration Role-specific AI assistants

The Goal

Reduce cognitive load. Increase consistency. Support better thinking. Rather than one large organisational assistant, we built multiple smaller role-specific assistants reflecting how work actually happens across the charity.

The Approach

The Systems Built

1. Board Minutes Assistant — Governance

Transforms shorthand board notes into formal UK charity minutes. Drafting reduced from hours to review-level effort, with improved governance consistency.

2. Reporting & Impact Assistant

Converts CSV exports into structured impact reports. A process that previously took close to a year now runs on a significantly reduced timeline — the team's focus shifted from drafting to quality assurance.

3. Meetings Assistant

Converts rough notes and transcripts into structured agendas and minutes — immediately usable outputs with far less admin effort.

4. Marketing & Communications Assistant

Supported awards communications across six channels, generating platform-specific outputs from a single core input while maintaining brand consistency.

5. Executive AI Adoption

Focused on behaviour, not technical complexity: email drafting, voice mode, and resolving the practical workflow blockers that stop adoption.

The Outcomes

What We Learned Together

"The training made me realise just how much more powerful and practical it can be in my role… This has already saved me a significant amount of time."
